ABOUT THE ORGANISATION AND THE ROLE

ASTRA Centre is an NGO offering sheltered employment for the intellectually disabled. Based in Gardens (Cape Town) the Centre provides a comprehensive service to members of the Jewish community who have special needs (intellectual disability and/or mental illness). Astra is recruiting for a Temp Administrator to be responsible for answering calls, greeting clients and visitors, and supporting the Admin Director with general and financial administration.

MAIN DUTIES & RESPONSIBILITIES

  • Answering phones and taking messages
  • General office admin and support of team
  • Schedule meetings with committee and or other people, attend meetings and take minutes
  • Process payments for all entities using business on-line banking
  • Daily banking for Coffee Time
  • Tip reconciliations for Coffee Time staff
  • Manage petty cash, for all entities
  • Capturing invoices on Sage Evolution
  • HR Admin – recording staff leave/sick days; managing shifts of relief house-parents for group homes; record-keeping of shifts and overtime for salaries and send to payroll
  • Workers’ wages to be paid monthly
  • Create content and post on social media platforms (Monday’s and Friday’s) and ad hoc; as well as content for Cape Chronicle
  • Support with Maintenance management and administration (across the entities)
  • Support with security-related queries or problems.

REQUIRED SKILLS & EXPERIENCE

1. Work experience and industry exposure

  • Previous experience with reception and switchboard duties
  • 1-2 years’ experience with general office administration
  • Experience in financial administration, desirable
  • Experience on Sage Evolution, advantageous.

2. Strong Communication and Interpersonal skills

  • Excellent communication skills with the ability to communicate telephonically in an effective and professional manner
  • A passion for service excellence with the ability to maintain high standards of professionalism with clients
  • Ability to maintain confidentiality and manage difficult situations in a sensitive and discrete way
  • Strong team player, able to follow instructions but work independently.

3. Organisational Skills

  • Excellent communication skills with the ability to communicate telephonically in an effective and professional manner
  • A passion for service excellence with the ability to maintain high standards of professionalism with clients
  • Ability to maintain confidentiality and manage difficult situations in a sensitive and discrete way
  • Strong team player, able to follow instructions but work independently.

4. General

  • Knowledge and experience of the Jewish Community and Jewish way of life will be an advantage.
  • High level honesty and integrity
  • Excellent computer skills, including Outlook, Word and Excel, PowerPoint.
