Position Description:

To provide administrative support to the Quality Assurance (QA) Division by capturing laboratory requisition data as per the required service level agreement (SLA) and ensuring that all completed reports are numerically filed and stored for future reference.

To manage admin on a day-to-day basis and to accurately provide relevant date to line management for approval and assessment.

Your responsibilities will be to:

 Customer Service Delivery – Corporate

  • Communicate with relevant stakeholders (Textile Technologist, Laboratory and Suppliers) to determine status of work in progress and monitor delivery requirements to ensure that the consequences of out of line situations are clearly understood and appropriate actions are initiated to ensure required results are achieved within stipulated time frameworks
  • Liaise with and offer regular support to Textile Technologist and Lab Technicians to assist in processing certain tasks that will ensure the required SLA is maintained
  • Identify and source appropriate resources for resolving customerenquiries/complaints
  • Respond professionally to all internal and external customer queries regarding product and/or services offered and redirect customer queries where necessary

Information Reporting

  • Capture laboratory requisition data as per the required service level agreement
  • Ensure that records are updated and maintained – address out of line situations with line management
  • Prepare and submit relevant reports/information timeously to all stakeholders
  • Provide accurate feedback to relevant stakeholders on required information
  • Assist in managing, implementing and maintaining effective housekeeping standards (document, records, etc.)

Merchandise Logistics Rules/Standards

  • Label merchandise samples to facilitate easy access and identification
  • Cross check workload to verify samples received are correct and liaise with relevant textile technologist verbally on all out of line situations
  • Follow-up with suppliers to address out of line situations regarding the collection of completed reports from the central pick point
  • Ensure regular booking in of samples in order to ensure a required process flow into the Laboratory
  • Inform line management on a daily basis of status of work in progress

Budget and Financial Management

  • Collect and verify budget information, ensure all out of line situations are highlighted and directed to the relevant line manager
  • Ensure that the Inter Store Transfer (IST) process is maintained across the business unit – ensure that all incoming and outgoing IST are processed in accordance with the set procedure
  • Compile journals for tax invoices received and prepare a flash report of direct delivery receipts thereby ensuring tax invoice information is forwarded to appropriate financial department
  • Check that all orders have been completed as per stipulated requirements and contains accurate information
  • Collect, organise and analyse information when processing orders so that details to ensure that it is correctly captured onto relevant system/s
