Position: Receptionist

REPORTING TOExecutive PA / Office Manager

PURPOSE OF THE JOBProvides frontline support to the Johannesburg Head Office. Responsible for welcoming and attending to visitors and dealing with telephonic inquiries from internal and external customer.
KEY PERFORMANCE AREAS1.Manage and maintain reception area, phones, office equipment, consumables and stationery.
2.Welcome visitors and employees alike and direct them in terms of their specific needs and reasons for visiting the premises.
3.Answer and assist with phone calls.
4.Direct phone calls if unable to assist.
5.Perform and confirm facility bookings.
6.Prepare facilities as booked and arrange supply of refreshments, and other if and when required.
7.Receive direct deliveries.
8.Liaise with team members and assist and support where possible.
9.Maintain filing system and perform general housekeeping activities.
10.Perform travel arrangements and bookings.
11.Understand and adhere to COVID 19 best practices and act as a compliance coordinator and enforcement officer.
12.Keeping a register of visitors, taking and recording of temperatures, ensuring sanitisation upon entry and regularly throughout the day, ensuring everyone is wearing a face mask and maintaining social distancing.
13.Reporting on behaviours and abnormal temperature readings to track and trace
14.Ensure assessment forms are completed, attend weekly update meetings.
15.Ensure sanitising of meeting rooms before and after any meetings.
16.To make travel bookings and receive invoices for same and reconcile in accordance with the company procedure.
MINIMUM QUALIFICATIONS REQUIREDGrade 12.
Post-matric certificate or diploma in administration or customer service recommended.
Valid driver’s licence
MINIMUM EXPERIENCE AND KNOWLEDGE REQUIREDMinimum 2 years’ experience within an administrative function or similar roleSwitchboard experience.
Well conversed in MS Outlook, MS Office and Excel.
Practical experience working with Skype for Business preferred.
